How to organize email and draft replies with AI

A text-based task example. This website does not connect to your inbox or send email.

The short answer

Start by asking Orlino to identify what each email asks, what you need to do, and when a reply is due. Then draft a separate response for each thread. Keeping review and sending separate helps prevent a draft from promising a price, deadline, or deliverable you have not approved.

What to bring

  • Relevant email text, dates, and context, with unnecessary personal information removed.
  • Your actual position: what you can confirm and what still needs an answer.
  • The tone, language, and length you want, plus anything you must not promise.

A practical way to approach the task

  1. Organize the requests first

Ask for a summary, open questions, action items, and deadlines for each email. Keep separate threads separate so one sender’s request does not end up in another reply.

  2. Distinguish requests from commitments

“The client would like this by Friday” does not mean “We will deliver Friday.” Draft around what you have confirmed, and leave room to clarify the rest.

  3. Review in your email app

Check recipients, CCs, attachments, amounts, and time zones before sending. The prompt below requests drafts only; it does not authorize delivery.

A prompt you can make your own

Replace the bracketed text before pasting this into Orlino. Share only material you have permission to use.

Organize these emails by thread. For each, list the summary, questions, action items, and any stated deadline. Then draft a separate reply using only the facts I have confirmed. Do not promise a price or delivery date without my approval. Use [Needs confirmation] for unknown details. Do not send anything.

My position: [What you can confirm]
Tone and length: [Friendly, concise]
Email text: [Paste relevant, redacted text]

A request is not a promise

These editorial examples illustrate a review method. They are not sent emails.

What does a usable result look like?

  • Each response matches the right thread and sender.
  • Names, amounts, deadlines, time zones, and attachments have been checked.
  • No suggestion has become an unapproved promise, and no draft is labeled as sent.

Common questions

Do I need to connect Gmail to use this method?

No. This method starts with text you choose to provide. Do not share passwords, sign-in codes, or unrelated personal information.

Can this website automatically answer my email?

No. It provides a drafting method and a prompt. Sending email requires a supported connection, the appropriate permissions, and a separate action.

About this example

This is a practical guide, not a live task. Except for the clearly labeled weekly-update example, examples are editorial illustrations, not customer results. This website does not access your accounts, submit your material, or execute tasks. Available tools and outputs depend on the app and your permissions.
